How to apply for a passport in India: Step-by-step guide

Thinking of applying for a passport? Well, getting a passport in India might seem like a daunting task initially, but with the right guidance, the process is quite straightforward. Whether you are applying for a fresh passport or seeking a re-issue of an existing one, following the proper steps ensures a smooth and hassle-free experience. This guide provides a detailed roadmap to help you understand Passport Seva Online Portal and the required formalities.

Step 1: Register on the Passport Seva Online Portal

To begin the application process, visit the Passport Seva Online Portal. Click on the ‘Register’ button located on the navigation menu, fill in your personal details, and click ‘Sign Up.’ You will receive a confirmation mail after registering, and once your email ID is verified, you will be able to log in to the portal using your registered Login ID and Password.
Do note that the password expires every three months and users will need to reset regularly to access their account.

Step 2: Accessing the application form

Once logged in, understand the dashboard, and then find the ‘Services’ button either on the left-hand menu or the overview page. Once you enter that page, select the “Apply for Fresh Passport/Re-issue of Passport” card to begin your application.
Users will get the services depending on the Passport Seva Kendra (PSK) in-charge or the Passport Officer. For minor applicants below four years of age, it is necessary to carry a recent passport-sized photograph (4.5 x 3.5 cm) with a white background. Additionally, if an applicant does not visit the PSK within 90 days of submitting the online form, resubmission of the application form will be required.

Step 3: Select the Regional Passport Office (RPO)

It’s essential to select the Regional Passport Office (RPO) based on your current place of residence, before proceeding with the application. The RPO selection will determine the nearest PSK for scheduling your appointment. It needs to be noted that users will be able to select a different RPO each time they apply for passport services.
After selecting the RPO, the instructions page will load with the steps relevant to the service you have chosen.

Step 4: Fill in the application details

For applying for a fresh passport, the portal will guide you through the following steps:
Passport type – Choose the type of passport you require.
Applicant details – Enter personal information accurately.
Family details – Include details of family members as required.
Address details – Provide your current residential address.
Emergency contact – Add a reliable emergency contact.
Previous passport – Furnish details of any previous passports, if applicable.
Other details – Include any additional information requested.
Passport preview – Review your entered information before final submission.
Details verification – Ensure all details are accurate before submitting the application.
Once the form is completed, a unique Application Reference Number (ARN) will be generated. You may save your application at any stage and resume later. Carefully validate all details before submission, as changes cannot be made afterward.

Step 5: Payment and Appointment Scheduling

After submitting the application, you must pay the applicable passport service fee and schedule an appointment. Click on View > Pay and Schedule Appointment on your dashboard. Prior payment is mandatory for booking appointments at all PSKs.
You can use the Schedule/Reschedule Appointment link to manage your appointment if payment is already made. Choose the Online Payment option and select the Appointment Quota (Normal or Tatkaal). The Tatkaal option is only available for applicants using the Tatkaal service. Select your preferred PSK or POPSK, and the system will display the next available appointment date. After verifying details, click Pay and Book Appointment to complete the payment process.
Upon successful payment, you will be redirected to the portal, where the Appointment Confirmation screen displays your appointment details. You will also receive an SMS on your registered mobile number with the scheduled appointment information. Appointments can be rescheduled three times for normal applications, while Tatkaal appointments can only be rescheduled once.

Step 6: Visiting the Passport Seva Kendra

On the day of your appointment, ensure you carry all necessary documents. Applicants should check their jurisdictional Passport Office page for any additional required documents. Original documents along with one set of self-attested photocopies must be submitted at the PSK for processing.

Step 7: Special cases

Marriage, divorce, and spouse name changes


Addition of spouse name: Submit either a marriage certificate or a joint photo declaration (Annexure J).Deletion of spouse name: Provide the divorce order/decree.
Change of spouse name: Submit divorce/death certificates and re-marriage proof or Annexure J.Surname change for women: Provide marriage certificate or joint photo declaration, and divorce order if applicable.
Full name change: Follow the standard name change procedure.

Minors

Consent of both parents is assumed unless specified.

Present address proof in parents’ name if required
Carry original and self-attested copies of parents’ passports if available.
Documents for minors can be attested by parents.
Minors are eligible for Non-ECR status until 18 years of age.

ECR: Emigration Check Required.
ECNR/Non-ECR: Emigration Check Not Required. The Non-ECR stamp is no longer printed on passports.
